DATA AND PRIVACY

We don't collect much in the way of data, and when we do, we treat it carefully. We keep contact information for members to allow us to keep in touch and let you know about meetings. Here is an outline of what data we collect and how we use it.

Visitors to our Website

When someone visits www.iochdar.co.uk we do not collect any personally identifiable information. If we change our set-up, we will change our policy and explain what we are doing on this website. We will make it clear when we collect personal information and will explain what we intend to do with it.

Membership

As part of the process of becoming a member, we collect personal information. At present, this is done on paper, very old-fashioned. To join, please visit our membership page where you can download a form. We use the data collected from the membership for a couple of reasons.

  • First off, we keep a record of membership. This is on paper, and we use this record to compile a mailing list for our own use. This is not shared with anyone else. Once you are no longer a member, your details are removed. As well as shredding the paper form, we remove your name from the secretary's mail list, which is stored on a private computer. We report on numbers of members at our AGM, but we do not share names. The membership report also lists which groups we are members of, and which groups have supported us or joined our organisation through the year
  • Only members can vote at our annual general meeting. We need to know who our members are at our AGM, and the secretary keeps members details on a list to check this at the AGM.
  • We send out details of our AGM to members. This includes information about when and where the meeting is, and how to vote and nominate new trustees. We may also contact you about other meetings, important events and fund-raisers. The email list is stored on the secretary's computer. After each AGM, anyone who is no longer a member has their details removed from the email list. You can also have your details removed from the list by replying to the sectretary, asking to unsubscribe.
